Client Services Coordinator

Client Trade Show & Event Support:
-
Act as a point of contact for clients, responding to inquiries, scheduling appointments, and ensuring excellent client service and quick response time.

Create meeting agendas for client status calls and file meeting minutes into an online project management system.

Prepare project timelines, deliverables, and weekly project reports, ensuring that all materials are on track for client and internal team deadlines.

Set up projects in the project management platform including task lists, project budgets, and task deadlines.

Request and submit all COIs for clients and EDS.
-
Source supplies and ordering show services such as floral, flooring, event decor and event activations, such as photo opportunities, entertainment, and speaker management.

Set up and manage client lead retrieval systems for trade show leads.

Submit and file EAC exhibitor appointed contractor paperwork.

Follow up on outstanding receivables from clients and ensure timely collections.

Manage client shipping schedules and paperwork for inbound and outbound tradeshow freight.
Project Estimating:
-
Assist in preparation of proposals from cost estimates for projects.

Responsible for reviewing all change order items to ensure all costs are accounted for and that they fall within the given project time constraints and project budget, including applying any service agreements that are in place.

Assist with organizing, and tracking vendor bills. Manage organization of bills to provide to accounts payable for processing.

Reconcile event budgets and financial reports to ensure costs align with project scopes.

Sales Support

Provide necessary sales support for clients while maintaining good client relations.

Assist in outreach and followup with potential clients.

Represent the company and its products and services professionally in a manner consistent with current marketing direction.

Provide day-to-day support in developing new business within current client programs.

Provide support in building Scope of Work, proposal templates, and other administrative tasks for new client and new project onboarding.

Travel to assigned client shows and events as needed or directed.

Utilize strong organization skills with proven ability to work independently and be self-motivated.

Additional responsibilities as required.
Qualifications:
-
College degree required with preference given to business and communications degrees
-
At least 2-3 years account support experience; tradeshow / event industry preferred
-
Software proficiency in Microsoft Office and Microsoft Teams as well as Google Apps (Sheets, Docs, Meet)

Project management experience (Teamwork, Trello, Monday, etc)

Must be able to travel domestically for short 2-3 day events or 5-7 day conventions on occasion. 10-20% travel.

Ability to consistently meet deadlines, problem solve and achieve established goals.

Positive attitude with excellent client service and interpersonal skills.
-
Excellent at multitasking, prioritizing, and managing deadlines in a fast-paced environment.

Strong verbal and written communication skills with attention to detail.

Schedule:

This is a remote, salary position.
-
Office hours are Monday - Friday 8:30 AM - 5:30 PM EST business hours.
-
Weekend and adjusted hours availability as needed during show weeks.
