Client Services Coordinator

Job Description

30 hours per week


As Client Services Coordinator at Event Driven Solutions, you’ll be responsible for a variety of tasks that vary throughout the year. This position requires close attention to details and hyper-organization to make sure that client needs are met, and nothing is forgotten. This is a hybrid role that will ideally be broken down as follows:

  • Administrative Support – 50%

  • Client Support – 40%

  • Sales Support – 10%



30 hours of week on set schedule.  Additional time can be worked on flex-schedule.



  • Learn and utilize company project management system to record tasks, track project metrics, document work hours, etc.

  • Manage meeting agendas, conference call lines, send and manage meeting invitations.

  • Schedule and attend conference calls as needed. Take careful meeting notes on all conference calls and record in the company project management platform.

  • Manage input of leads into company CRM and follow-up on leads.

  • Maintain the internal Marketing & Events Calendar, along with client marketing calendars across platforms.

  • File invoices and payment receipts - for internal travel and vendors.

  • Manage travel for EDS team, including receipts and expense reports for each project for each person working.

  • Provide ongoing account support to existing customers.

  • Write, proofread, and edit creative and technical content across different mediums, including social media.

  • Manage all project budgets for each trade show & events and organize receipts and forms for trade show related suppliers.

  • Build estimates for client projects, based on internal procedures.

  • File and organize estimates, invoices, proposals, and receipts.

  • Research event specific items needed for projects such as headphones, tents, porter potty, décor, and suppliers for new activities during client events.

  • Organize and file trade show forms for every show according to the EDS workflow and file.

  • Work with external agencies and vendors to collect proposals, execute marketing programs, and build estimates.

  • Manage event creation, registration, and attendees/invitees on the Cvent, Eventbrite, Tickeri, and/or other event management platforms, as well as social media platforms.



  • Excellent collaboration and communication skills.

  • Great organizational and time-management skills.

  • Must have 1+ years of customer service experience and must be comfortable speaking with and interacting with clients.

  • Must be proficient in Microsoft Office, including Excel, Word, and PowerPoint, as well as Adobe Acrobat.

  • Must speak English as a native language and have excellent grammar and writing skills.

  • Must submit a resume and cover letter expressing interest in position and past relevant experience.

  • Proficient in Cvent or Cvent certification preferred.

  • Person will work from home and will be available to meet in person on occasion to discuss tasks.  Must have transportation to get to and from these meetings.

  • Must have access to the internet with the capabilities of video chat.

  • Must be able to travel on occasion.


EDS to provide company laptop.



10 AM - 5 PM Monday through Friday schedule with a 1-hour lunch break, paid hourly. Occasional weekend work requested, but time will be balanced during the week to accommodate for this.

  • 10 vacation days accrued throughout the year, paid based on average of weekly hours. Additionally, holidays off include Fourth of July, December 25th, January 1st, and Labor Day.
